Our facility is open 24/7/365. We have to choose our vacation time a year in advance. As you can imagine, this causes the need for a LOT of shift / day swapping so that people can actually attend weddings, birthdays, and other important life events.
Imagine that you need a certain day off two weeks from now. The Workloud system lets you enter the day you want to swap.... but does not notify any of the employees who are working the shift you want.
This is akin to writing a note to your best friend on a piece of paper and putting it in a bottle and throwing it into the sea. Aside from littering, it's a pretty pointless venture because the likelihood of that note getting to your friend is NIL. We enter a shift we want to swap, and just *hope* that someone scans Workloud for that swap?
With the Workloud swap system, I now have to scour the employee schedule, find all the employees who are working the shift that I need, and send each of them a separate email myself, asking them to go into Workloud and swap with me. If I need to swap more than one shift - lather, rinse, repeat.
Then there's a completely unnecessary layer... if someone clicks to choose my swap request, I have to "accept" their acceptance?!? That's just silly. As long as I'm getting the swap I need, I don't care who gets it. First come, first served.
The way an effective, efficient swap system should work is this:
1. Employee enters the day/shift they have, and the day/shift they want to have.
2. The SYSTEM sorts the existing employee roster and sends a preformatted email request to all the employees who have the day/shift being requested.
3. The first employee to respond to the request gets the swap, and a notification email is sent to both the "swapper" and the "swappee".
I know that this is possible, because our previous scheduling software did it.
