Inactivate and Reactivate an Employee

This article will walk the user through the required steps to inactivate and reactivate an employee. Inactivating an employee will:

  • Remove them from schedule generation
  • Remove their base schedule(s)
  • Remove their qualifications

 

Inactivate the Employee

1) Click on the Administration icon from the navigation menu, then select Employee Management option in the Employee Management section.

2) Press the Inactivate button next to the desired employee.Screen_Shot_2017-04-09_at_2.36.52_PM.png


3) Establish the effective inactivate date and time (you can choose to inactivate the employee now or at a future date).

4) Press the Next button.

Note: You will get a warning message that lists any associated items that will become inactivated.

5) Press the Finish button to proceed with the inactivation.

Note: If the employee is inactivated at a future date, the employee will be grayed out on the Roster starting from that date.  20.png

 

Reactivate the Employee

1) Click on the Administration icon from the navigation menu, then select Employee Management option in the Employee Management section.

2) From the Advanced Filters drop down, select the Status and Show Orphan filters.

3) From the Status drop-down, select Inactive.

4) check the checkbox next to Show Orphan.

5) Press the Apply Filters button.

6) Press the Edit button next to the desired inactive employee.

7) Press the Transfer button next to the Primary Organizational Units field to re-add an Organizational Unit to the employee.

8) Press the Next Button.

9) Select the new Primary Organizational Unit from the drop-down.

10) Press the Finish button.

11) Press the Restore button in the bottom right corner of the employee's page.

 

Update Organizational Unit Validity Period

1) Click on the Administration icon from the navigation menu, then select Employee Management option in the Employee Management section.

2) Click the Edit icon next to the desired employee. 

3) Press the + tab and select Organizational Units.

4) Press the Add New button.

Note: You cannot have overlapping validity periods, so you may have to inactivate/delete the existing validity period before adding a new one.

5) Select the desired Organizational Unit from the drop-down.

6) Enter the validity period in the Valid From and Valid To fields.

7)  Press the Save button.

 

Update Qualifications

1) Click on the Administration icon from the navigation menu, then select the Qualifications option from the Employee Management section. 

2) Select the desired entity item to qualify employees for from the Qualifications drop-down.

3) Select the desired employee from the Employees panel and select the checkboxes next to the desired qualifications in the righthand side panel.

Note: Employees may also be qualified to entity items by first selecting the entity item then selecting the desired employees.

4) Press the Save button.

Note: Be sure to repeat this step for all other desired entities, such as Shifts.

 

Re-Allow a Base Schedule

1) Click on the Administration icon from the navigation menu, then select Base Schedule Management option in the Employee Management section.

2) Then click on the Base Schedule Allowances tab.

3) Select the desired employee or employee group from the Employees panel on the left side.

4) In the Base Schedules panel on the right side, check a checkbox next to each desired base schedule allowance.

Note: Base Schedule allowances for employees can also be defined by first selecting a base schedule, then selecting employees.

5) Press the Save button.

Reassign a Base Schedule

1) Click on the Administration icon from the navigation menu, then select Base Schedule Management option in the Employee Management section.

2) Then click on the Base Schedule Assignments tab.

3) Select the desired employee from the Employees panel.

4) In the Base Schedules panel on the righthand side, press the Assign button next to the desired base schedule.

22.pngNote: The user can only assign employees to base schedules that they have been allowed to. Also, employees can also be assigned to base schedules by first selecting the base schedule, then selecting employees.

5) To define or change Start and End times for multiple base schedules for the same employee, press the down arrow on a base schedule already assigned to an employee.

6) Press the OK button.

7) To transition an employee from one base schedule to another, two base schedules can be assigned to one employee with modified Start and End dates.
